About this role:
Crystal Palace Football Club are looking for an highly organised and proactive Executive Assistant to support the CEO with daily administrative operations and project coordination.
The successful candidate will manage the CEO’s diary, coordinate regularly with internal teams and external partners, and help ensure key actions and project milestones are delivered on schedule.
Responsibilities:
Managing the CEO’s diary and scheduling meetings when needed.
Liaising with the Head of Departments to provide updates and gain relevant information for different projects.
Planning and anticipating events well in advance and understanding the rotation and volume of the workload.
Organisation of meetings, taking minutes, distributing minutes with allocated actions and following through until completion.
Acting as the first point of contact for all incoming calls, correspondences, internal and external contacts to the CEO.
Building, developing, and managing relationships with all internal and external stakeholders.
Expense management (credit card/bank accounts/ PO reconciliation).
Preparing and transcribing reports, documents, letters meeting notes ensuring a robust attention to detail.
Preparing a wide range of written materials to include budgets, billings, minutes, assessment, planning schedules.
Maintaining confidential records and handling sensitive information with a high level of discretion and professionalism.
Take accurate meeting minutes and maintain clear records of discussions, decisions, and action items.
Track and follow up on actions from meetings, proactively chasing stakeholders to ensure timely updates and completion.
Monitor project progress and provide regular updates to relevant teams and leadership.
Act as a central coordination point to ensure communication flows smoothly across multiple projects and stakeholders.
Be available to support outside standard working hours and participate in on-call support when required.
Travel or drive as needed to support meetings, project coordination, or operational requirements.
Demonstrate strong attention to detail and a proactive, organised approach to executive or administrative support.
Listen carefully to direction from leadership, execute tasks efficiently, and support the follow-through of projects from instruction to completion.
Preparing professional PowerPoint presentations, reports and briefing materials for meetings, board updates and internal/external presentations.
Other duties and responsibilities as required by line manager.
Upholding and promoting the Club’s policies and procedures, including Health and Safety, Safeguarding and Equal Opportunities policies and procedures.
Experience, Skills and Qualifications:
Experience working in a similar role, a busy and dynamic environment.
Fully computer literate, including the use of all Microsoft Office (Word, Excel, PowerPoint and Outlook).
Highly proficient presentation building skills.
First class organisational and administrative skills, office management and the ability to anticipate and prioritise the diverse workload.
Excellent communication skills.
Able to work under pressure and to be able to meet tight deadlines.
Experience working in a fast-paced environment providing accurate and timely information to a high standard.
Hands on experience with office equipment.
Ability to handle confidential and sensitive information with discretion and professionalism
